The choice of event venue should always be based on the event strategy. What are the purpose and objectives of the event? What do we want to communicate? What do we want the participants to think, feel, do?

The strategy is always nailed down first.

What is the reason for this?

The choice of venue is as much a part of content planning as other experiences. The place you choose conveys a feeling. Which in turn affects the experience and what we want to communicate.

So think it through first:

⭐ Event strategy - What is the purpose and objectives of the event? What do we want to communicate? What do we want participants to think, feel, do?

⭐ Company brand - Does the location fit with the company's core values?

⭐ Participant demographics - For example, are they older or younger, trendy or traditional, national or international?

⭐ Need for special space - Maybe a stage is needed? Should you be able to mingle?

⭐ Technology needs - What technology is needed? Can it be installed in the premises in a good way?

⭐ Sound volume - How are the acoustics? Can the volume we use disturb others?

⭐ Location - Can participants get there in a reasonable way? Is the room/venue accessible to all?

⭐ Access to the venue for preparation - Does the event require us to make installations and preparations? Is the time that can be given enough? Can the budget cope with the possible extra room rental?

⭐ Need for adaptations and changes to the space - Do we need to rebuild and hide parts to make the space work as intended? Or do we need to bring in new elements?

⭐ Sustainability requirements of the company - What is the impact of any desired adaptation on the environment and what might we need to adjust to make the choice sustainable?
