Before your staff start emailing you ideas about great places, hotels they'd like to experience, digital studios they've heard about and activities they've been involved in, it's important to nail down why you're running the event.

Event strategy and event planning always start with formulating the purpose of the desired event. During our first meetings together, we often ask the impertinent question 'why' several times. Because the more we delve into what you want to achieve, the clearer and more effective the message will be. Sometimes unexpected information comes to the surface during the initial conversations, allowing us to address more important challenges simultaneously and achieve an even better end result.

It is always a good idea to invite us at an early stage. Because when your internal meetings start to touch on WHAT to do during the event and HOW, before there are answers to WHY, it is time to press pause. Our first meetings together are about getting to know each other so that we understand your challenges and needs in detail. We get an idea of the problems we need to solve and then set communication objectives for the event.

If there's one thing we've learned over the years, it's that every event is unique and has its own requirements. There is no such thing as copy-paste in professional events.

The project team develops a creative concept

Once we have an event strategy, our project team comes together to develop a creative concept. This includes all the elements of your upcoming event, each of which will ensure that we achieve the purpose and reach the objectives.

Event planning

Our many years in the industry have given us an extensive network of contacts. We have visited most conference hotels in Sweden and we can manage relationships with subcontractors in Europe, the USA and other parts of the world.

Based on the event strategy and the creative concept, we contact and enter into agreements with the subcontractors needed for the implementation of the event; technology, graphics, logistics, premises, studios, lecturers and other actors.

This is where the hard work begins. We verify that there is spare capacity on the selected date. We create a project plan. We develop a detailed schedule describing the event minute-by-minute. We plan the event logistics. We create a registration function for the participants. We manage various event requests and personal needs. And so on.
